Head of Department Duties
Powers and Responsibilities

· To perform the duties specified in the relevant academic organization law of the Academic Personnel Law No. 2547,
· Presides over departmental boards. · Being a member of the Faculty Board.
· Reports the department's needs to the Authority in writing.
· Ensures that all correspondence between the office and the department is carried out in a healthy manner.
· Provides coordination between departments affiliated to the department.
· Ensures regular education and training in the department.
· Identifies the education-related problems of the department and reports them to the Authority.
· Conducts the department's evaluation and quality improvement studies and submits reports to the Authority.
· Works in coordination with the Dean's Office Quality Unit and carries out the accreditation studies of the programs affiliated with the Department. · Works to create a communication environment among the faculty members in the Department for the purpose of carrying out education and scientific research efficiently and effectively.
· Ensures that the department's course distribution is balanced and reasonable among faculty members,
· Ensures that the classrooms, study rooms, workshops, laboratories and course equipment in the department are used efficiently, effectively, regularly. Notifies the Department's opinion in writing to the Dean's Office to be taken into consideration in extending the term of office of faculty members affiliated with the department.
· Provides necessary information about the Department for the Faculty Academic General Assembly.
· Ensures regular course registrations at the beginning of each semester.
· He is closely interested in the education and training problems of the students of the department.
· Ensures that student-instructor relations in the department are carried out in an orderly and healthy manner, in line with the objectives of education.
· Holds meetings with advisors to ensure regular course registrations. · Ensures that undergraduate education and examination regulations and guidelines are implemented in accordance with their spirit.
· Ensures that faculty members deliver their lessons regularly.
· It tries to create a suitable communication environment among the faculty members in the Department in order to ensure that education and scientific research are carried out efficiently and effectively. To carry out the processes related to his/her duty in accordance with the quality targets and procedures within the framework of our University Quality Policy and Quality Management System,
· While performing all these duties written above in accordance with the laws and regulations, he is responsible to the managers he reports to.

2nd Deputy Head of Department (Dr. Lecturer Utku AYBUDAK) Duties, Powers and Responsibilities
· Double Major/Minor coordinator
· Horizontal transfer coordinator
· Department graduation coordinator
· MÜDEK and Curriculum coordinator

Department Secretary Duties, Powers and Responsibilities

· Conducts faculty-department and inter-departmental correspondence and delivers them to the relevant places.
· Files the documents and letters sent to and from the department.
· Monitors that the letters coming from the Dean's Office are taken into account by the department head, and ensures that the necessary letters are forwarded to the Dean's Office on the day.
Makes announcements of events such as meetings, seminars and conferences.
· Writes the Department Board reports and forwards them to the relevant places after they are signed, and files a copy.
· Makes relevant announcements on student bulletin boards of departments and removes expired ones.
· Department staff's excuse leave, reports, assignments, etc. writes cover letters.
· Announces the decisions of all other boards and commissions, such as the "Faculty Executive Board" and "Academic General Assembly", regarding the student coming from the Dean's Office to the relevant faculty members. It follows the procedures and procedures regarding the extension of the term of office of department faculty members and notifies the Dean of the department board decision.
· Prepares a cover letter to notify the dean about the finalized weekly course schedules.
· Ensures that exemption petitions are reviewed by department heads and advisors.
· Announces the articles about the students to the department chairs, advisors and course instructors, and writes comments on the articles for which opinions are requested.
· Registers incoming documents and directs them to the referred units. · Ensures the editorial work of the department. Copies the articles of the department as much as necessary and delivers them to the relevant parties.
· Deliver the documents to the relevant person or unit and receive them from the relevant person or unit.
· Ensures the execution of midterm, end-of-semester, excuse, single course and additional exam procedures.
· Ensures that the exemption procedures of the students who come with new registration or transfer are made regarding the courses they have taken in their previous education, and the exemption procedures of the students who are successful as a result of the exemption exam held by the University.
· Ensures that faculty members participate in domestic and international scientific meetings and are assigned to conduct examinations, research and applications.
· Ensures that new courses are opened.
· Ensures unit filing operations and delivery of materials to be transferred to the archive.
· Carry out all student affairs related to students that are outside the duties, powers and responsibilities of the Registrar's Office and are given to him/her.
· Performs other activities specified under his/her responsibility in laws and regulations.
· Conducts the processes related to his/her duty in accordance with the quality targets and procedures within the framework of our University's
Quality Policy and Quality Management System.

· Performs other duties related to the field of duty given by the manager or senior managers to whom he/she is affiliated, in accordance with occupational health and safety rules.
· While the Department Secretary carries out all these duties written above in accordance with the laws and regulations, he is responsible to the School/Faculty Secretary, Department Head, Department Head, Deputy Dean and Dean.

Department Quality Commission Duties, Powers and Responsibilities

It plans the work and transactions in the Department in line with the principles and decisions determined by the Quality Coordinator of our University and the Faculty Quality Board, monitors and controls its implementation and takes the necessary measures. It ensures the creation of forms, reporting and coordination with relevant units.

DUTIES, AUTHORITIES AND RESPONSIBILITIES OF SUB-COMMISSIONS

1-Part Bologna Process Commission
· To inform the course instructors about entering department course information into the automation system in coordination with the Faculty Bologna Commission and to check that the contents of the courses are entered into the automation system correctly within the required time. The commission meets at the beginning and end of each academic term and ensures the reporting of missing data.
2-Department Course Procedures Commission
· In the Department of Political Science and Public Administration, the faculty members responsible for the compulsory and elective courses and related courses that are decided to be opened in line with the needs of the Department in the fall, spring and summer school periods are defined in the OBS (Student Information System) and the Department's course schedule and Department policy decisions and It ensures that it is prepared in the most appropriate way possible in line with the physical conditions.
3-Department Measurement and Evaluation (Exam Procedures) Commission
· Provides preparation and announcement of midterm exams, final exams and single course exam schedules for each semester.
4-Department Internship Commission
· The duty of the internship commission of Karabük University Faculty of Economics and Administrative Sciences, Department of Political Science and Public Administration; To determine the procedures and principles regarding the planning, execution and evaluation of practical applications to improve students' professional knowledge and skills, and to guide students who will do or are doing internships.
5-Section Quality Commission
· Plans the work and transactions in the Department in line with the principles and decisions determined by the Quality Coordinator of our University and the Faculty Quality Board, monitors and controls their implementation and takes the necessary measures. It ensures the creation of forms, reporting and coordination with relevant units.
6-Department MÜDEK Accreditation and Curriculum Commission
Conducts the definition/updating of departmental curricula at undergraduate and graduate levels.
7- Department Exemption and Adjustment Commission
· The Exemption and Adjustment commission regulates the exemption and semester/year adjustment of the courses that students who have the right to enroll in Karabük University have previously taken and passed from any Higher Education Institution, including Karabük University, during the Summer, Spring and Fall academic periods, in accordance with the relevant regulations and directives. The commission makes decisions regarding applications by holding regular meetings before the course selection week of each academic year.
8-Department Double Major and Minor Commission
· Evaluates and finalizes the applications of students who will do a Major or Minor in our department.
9-Chapter Exchange Programs Mobility Commission Responsibilities
· It ensures that approvals are given regarding the mobility of our department students who are eligible for Erasmus, Mevlana, Farabi exchange programs, course matching is made, course additions/drops are approved when necessary, the problems that students may experience during the process are followed, and grades are converted upon their return.
· Relevant exchange programs from other educational institutions to our UniversityIt follows up the course taking approval procedures of guest students who come to our University from other educational institutions through relevant exchange programs, coordinates the courses that can be given in English by contacting the relevant faculty members, and ensures that the problems that may arise before the students come to our Department and during the course taking process are followed up. In addition, necessary information, trips, presentations, etc. for the guests coming to our University through these exchange programs. Follows up the organizations.
10- Department Graduation and Alumni Relations Commission
· It ensures that the graduating students are given graduation approval by checking whether they meet the necessary conditions for graduation.
11-Communication and Promotion Commission
· Making updates to the tabs of the department website that are open to management in the system and adding new content in line with the suggestions, requests and approvals of the Department Head.
· To announce the announcements from EBYS and/or the Department Head on the department website and to share them with the faculty if necessary,
· Managing the official social media account of the department,
· Taking part in the organization of activities related to department promotion.
12- International Relations Commission
· To provide all kinds of guidance services to students coming to and leaving our department outside the scope of exchange programs.

Duties, Powers and Responsibilities of the Horizontal and Vertical Transition Commission
· To determine the students who are eligible for horizontal and vertical transfer according to the relevant regulations of our University by receiving applications from students who will make horizontal and vertical transfer.
